A price list and a real stock ledger
Every movement recorded, so any level can be explained. Set a reorder level and you get an email when it runs low. Going negative warns you; it never stops you recording work you have done.
VAT done properly — or not at all
A registered vendor gets SARS-format tax invoices and sees the VAT it can claim back on what it buys. If you are not registered, you never see a VAT field anywhere.
Who is on which job, and when
Book a job on the days it actually runs and put a crew on each day. As you pick the days you see who already has work on them, and the calendar shows who is busy, who is on leave and the days you are closed.
Clients fill in their own details
Send a client a link to check their address and contact details, or share your intake form so a new client fills theirs in. Nothing is retyped, and a new client joins your list only when you approve them.
Job cards that price themselves
Materials and labour at your rates, fixed the moment you log them — so the job total and the invoice never disagree. Say who worked a line, and the job shows what their hourly or daily pay came to.
Invoices, part payments and what is overdue
Part payments are normal, not an edge case. The dashboard shows what is outstanding, who to chase first, and finished work you have not invoiced yet.
Your people, with the right access
Everyone who works for you in one list, signing in or not, with what you pay them. Staff see the jobs they are on and log materials and hours — never your prices, your totals or anyone's pay. Working alone? You never meet the idea of roles.
The money going out, not just what comes in
Record fuel, tools, rent and fees with a photo of the slip. Set up a monthly cost once and add each month's with one press, and you are warned before you enter the same slip twice.
