The agreement between you and [registered entity name] for the use of VoltAdmin. The privacy policy and the operator agreement form part of it.
1. What you get
A subscription to VoltAdmin for one contracting business: client records, quotes, job cards, materials and stock, invoices and payment tracking, for as many people as you invite.
2. The trial
Fourteen days, no card, no obligation. At the end of it you subscribe or you do not; nothing is charged automatically, because we never held a card.
3. Paying
Monthly or annually, in advance, through our payment gateway. Prices are shown before you pay and include VAT where it applies.
If a payment fails, you keep working for a week's grace. After that the account is restricted, not closed: everything you have entered stays readable and exportable, and only new quotes and invoices are paused, until a payment goes through. We do not hold your records hostage — the export is in Settings and is always available.
If you never come back, the retention schedule in the privacy policy applies: a year, then an emailed link to download everything, then deletion.
4. Stopping
Cancel whenever you like; you keep access to the end of the period you have paid for. We do not refund part-months, and we do not bill you again.
To delete everything, Settings → Close this business. It takes seven days, and signing in during those seven days calls it off.
5. Your data is yours
You own everything you put in. We hold it as your operator (see the operator agreement) and we claim no rights over it. Take a copy at any time; take it with you when you go.
6. What we ask of you
- Give accurate details when you sign up, and keep them current.
- Look after your password, and switch on two-step sign-in if you have staff.
- Use it for lawful business.
- Do not attempt to reach another business's data, break the rate limits, or probe the service for weaknesses without asking us first. If you find something, tell us — we would far rather hear it from you.
7. What the software does not promise
VoltAdmin calculates VAT and renders SARS-format tax invoices from the settings you give it. It is not tax advice, and it is not an accountant. Whether you are a registered vendor, what rate applies and whether a document is correct for your circumstances stays your responsibility and your accountant's. The tax-invoice template has been prepared against the SARS requirements and reviewed by the founders' accountant; that review is about the template, not about your particular invoice.
The same applies to the electrical work itself. VoltAdmin records what you quoted and what you did. It does not certify it.
8. Availability
We aim for continuous availability and we do not promise it. Planned maintenance is announced in advance where we can. Where an outage is our fault and material, talk to us — we would rather sort it out than argue about a clause.
Your records are backed up, encrypted and off site, and restores are rehearsed rather than assumed.
9. Liability
Nothing here limits liability for death, personal injury, fraud, or anything else the law does not permit to be limited. Otherwise our total liability in any twelve months is limited to what you paid us in that period. We are not liable for lost profits or for consequential loss.
10. Changes
We will email you at least 30 days before any change that materially affects you, and post the new date at the top. Using the service after that means you accept the change; if you would rather not, cancel and take your data.
11. Governing law
South African law. The courts of South Africa have jurisdiction. Talk to us before going near them — [support email].
